Welcome to Asoupe Travel. These terms govern all bookings, tours, and travel-related services. Please review them carefully as they establish our mutual commitments and guidelines.

1. Booking and Confirmation

1.1 A booking is considered confirmed only after:

  • Receipt of the required deposit or full payment.
  • Issuance of a booking confirmation by Asoupe Travel.

1.2 The person making the booking confirms that they have the authority to accept these Terms and Conditions on behalf of all travelers included in the booking.

1.3 All travelers must provide accurate personal information, including passport details where required.

2. Payments

2.1 A deposit may be required to secure reservations for accommodations, flights, permits, transportation, or other travel services.

2.2 Full payment must be made before the commencement of the tour unless otherwise agreed in writing.

2.3 Payments may be made through approved payment methods provided by Asoupe Travel.

2.4 Any bank charges, currency conversion fees, or transfer fees are the responsibility of the client.

3. Pricing

3.1 All prices are quoted in the currency specified in the booking proposal or invoice.

3.2 Prices are based on current rates, taxes, park fees, government levies, and supplier costs at the time of quotation.

3.3 Asoupe Travel reserves the right to adjust prices before confirmation in the event of:

  • Changes in government taxes or park fees.
  • Fuel price increases.
  • Exchange rate fluctuations.
  • Changes imposed by third-party suppliers.

3.4 Once full payment has been received and the booking confirmed, no price increase will apply unless required by law or government regulation.

4. Cancellations by the Client

All cancellation requests must be submitted in writing. The following cancellation charges may apply:

More than 60 days before departure Deposit may be retained
59–30 days before departure 30% of total booking value
29–15 days before departure 50% of total booking value
14–7 days before departure 75% of total booking value
Less than 7 days before departure or no-show 100% of total booking value

Refunds, where applicable, will be processed after deduction of non-refundable supplier costs, permit fees, bank charges, and administrative expenses.

5. Changes by the Client

5.1 Requests to amend confirmed bookings are subject to availability and supplier approval.

5.2 Additional costs arising from changes requested by the client shall be borne by the client.

5.3 Changes may include:

  • Travel dates.
  • Accommodation selections.
  • Group size.
  • Tour itinerary modifications.

6. Cancellations or Changes by Asoupe Travel

6.1 While every effort will be made to operate tours as planned, Asoupe Travel reserves the right to modify or cancel any itinerary due to circumstances beyond our control.

6.2 Such circumstances may include:

  • Extreme weather conditions.
  • Natural disasters.
  • Government restrictions.
  • Political instability.
  • Health emergencies.
  • Supplier operational issues.

6.3 Where possible, suitable alternatives will be offered. If no alternative is available, a refund may be provided for unused services, subject to supplier policies.

7. Travel Documents

7.1 Travelers are responsible for obtaining and carrying valid:

  • Passports.
  • Visas.
  • Vaccination certificates.
  • Travel permits.
  • Other required travel documentation.

7.2 Asoupe Travel shall not be liable for denied entry, deportation, missed departures, or additional expenses arising from incomplete or invalid travel documents.

8. Travel Insurance

8.1 Comprehensive travel insurance is strongly recommended for all travelers.

8.2 Insurance should cover:

  • Medical emergencies.
  • Personal injury.
  • Emergency evacuation.
  • Trip cancellation.
  • Lost or delayed baggage.
  • Personal liability.

8.3 Clients travel at their own risk if adequate insurance is not obtained.

9. Health and Fitness

9.1 Clients must ensure they are physically and medically fit for the activities booked.

9.2 Any medical conditions, allergies, dietary requirements, disabilities, or special needs must be disclosed before booking.

9.3 Asoupe Travel reserves the right to decline participation where a traveler's condition may compromise safety.

10. Wildlife and Adventure Activities

10.1 Safaris, trekking, mountain climbing, walking tours, and other outdoor activities involve inherent risks.

10.2 Travelers must follow all instructions provided by guides, drivers, park authorities, and safety personnel.

10.3 Wildlife is unpredictable. Asoupe Travel cannot guarantee sightings of specific animals or natural events.

10.4 Participation in activities is voluntary and undertaken at the traveler's own risk.

11. Accommodation and Transportation

11.1 Accommodation and transportation services are provided by independent suppliers.

11.2 Asoupe Travel acts as an intermediary between clients and suppliers and shall not be responsible for:

  • Service interruptions.
  • Supplier insolvency.
  • Overbooking.
  • Mechanical failures.
  • Delays beyond our reasonable control.

11.3 Similar accommodations may be substituted when necessary.

12. Limitation of Liability

12.1 Asoupe Travel shall not be liable for any loss, damage, injury, illness, delay, accident, or expense arising from:

  • Acts of God.
  • Force majeure events.
  • Government actions.
  • Civil unrest.
  • Strikes.
  • Airline delays or cancellations.
  • Third-party negligence.

12.2 Our liability, where legally established, shall be limited to the amount paid by the client for the affected services.

13. Client Conduct

13.1 Travelers are expected to behave respectfully toward:

  • Fellow travelers.
  • Local communities.
  • Wildlife.
  • Staff and service providers.

13.2 Asoupe Travel reserves the right to terminate a client's participation without refund if their behavior:

  • Endangers others.
  • Violates local laws.
  • Causes significant disruption.

14. Complaints

14.1 Any complaint should be reported immediately to the tour guide, driver, or Asoupe Travel representative to allow an opportunity for resolution.

14.2 If unresolved, written complaints must be submitted within 14 days after completion of the tour.

15. Photography and Marketing

15.1 Photographs, videos, or testimonials voluntarily shared with Asoupe Travel may be used for promotional purposes unless the client requests otherwise in writing.

15.2 Personal information will be handled in accordance with applicable privacy laws.

16. Force Majeure

Asoupe Travel shall not be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to natural disasters, pandemics, government actions, war, terrorism, labor disputes, transport disruptions, or severe weather conditions.

17. Governing Law

17.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Tanzania.

17.2 Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Tanzania.

18. Acceptance of Terms

By making a booking with Asoupe Travel, the client acknowledges that they have read, understood, and accepted these Terms and Conditions and agree to be bound by them.
